In-Season Responsibilities

General Responsibilities

  1. Organize Team Meetings and Events:

    • Initial Parent Meetings: Plan and conduct the first meeting with parents to discuss team goals, schedules, and responsibilities. Distribute handouts such as the Fair Play Codes and ensure minutes are taken and distributed to parents.

  2. Serve as the Main Point of Contact for the Team:

    • Act as the liaison between the team and the league, referees, and other teams.

    • Address any questions or concerns from players, parents, and coaches.

    • Regularly send out updates on practice times, game schedules, and other relevant information.

    • Communicate game results, schedule changes, and any issues that arise during the season.

    • Use email, team apps, or social media to keep everyone informed.

  3. Manage Communication with the League and Other Teams:

    • Stay informed of league rules and ensure the team adheres to all regulations.

    • Submit required documentation to the league as needed.

    • Ensure all fundraising activities comply with league and association guidelines.

  4. Ensure All Logistical Needs are Met for Team Activities:

    • Organize equipment transportation.

    • Ensure all necessary permits and approvals are in place for all team activities.

  5. Record Keeping:

    • Ensure all players have up-to-date medical forms on file.

    • Keep emergency contact information readily accessible during team activities.

    • Maintain detailed records of all team activities, including practice and game attendance, player statistics, and financial transactions.

    • Ensure records are organized and easily accessible for reference.

  6. Booking and Managing any “Extras”:

    • Reserve ice time for extra practices and games.

    • Coordinate travel itineraries and ensure all players have the necessary travel documents.

    • Team Bonding Events: Plan social events and activities to build team camaraderie (e.g., outings, dinners, team-building exercises).

    • Plan and execute fundraising events to support team activities.

    • Book transportation and lodging for the team to attend away games/tournaments.

Pre-Game Responsibilities:

  1. Prepare Documents: Prepare any documents for gameday (gamesheet, lineup, etc.)

  2. Check Dressing Rooms: Ensure dressing rooms are ready and secure, report any damage to the city before occupying.

  3. Organize Volunteers: Arrange for volunteers to assist with games or practices if necessary.

During-Game Responsibilities:

  1. Supervision: Monitor off-ice conduct of players and parents, and ensure dressing rooms are secure.

  2. Fill-in for Volunteers: Be prepared to step in if a volunteer needs a break.

Post-Game Responsibilities:

  1. Submit Game Report: Submit the game report to the Association or League.

  2. Check Dressing Rooms: Ensure the rink and dressing rooms are left in good condition, report any damage to the city and plan a team meeting.
